Where We Store & How We Hold Data
Information will be held at our offices and those of relevant third party companies. We do not transfer or process data outside the UK. We have security measures in place to seek to ensure that there is appropriate security for information we hold in office, on computer and on our software. Unfortunately, the transmission of information via the internet is not completely secure and although we do our best to protect your personal data, we cannot guarantee the security of your data transmitted in this manner.

Why The Information Is Being Collected

- To send financial statements, pass rent payments to the landlord
- To check the landlord/seller is legally able to let out/sell their property and for ongoing communication through the tenancy/transaction
- To check the tenant/buyer is legally able to rent/buy the property and for ongoing communication throughout the tenancy/transaction
- To check contractors for competence and whether insured – To detect, reduce or prevent fraud and credit risk
How The Information Will Be Used
We use the information collected to understand your needs, provide you with a better service, whilst adhering to legislation. We also use your information for;
- Contacting you regarding enquiries
- Carrying out our contractual obligations to you and providing you with information, products and services that you request from us
- To notify you about changes to our service or relevant legal changes to the property sector
- Internal record keeping
Who The Information Will Be Shared With
We will not share your information with third parties without your consent unless required to by law. We may also share information with our external contractors and our professional advisers, where you ask for this service. The recipient of the information in these circumstances will be bound by confidentiality obligations.
Keeping Your Personal Information Secure
We have appropriate security measures in place to prevent personal information from being breached. Access to your data is limited to Sykes-Moore Estate Agents and authorised third party companies. All third party companies are subject to a non-disclosure agreement. We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.
For How Long The Information Will Be Kept
All data stored & held, apart from that mentioned below, will be archived once the file is not ‘live’ (in use) and then 6 years from being archived, the data file will be safely destroyed. If an applicant did not progress to become a buyer/tenant/seller/landlord, their data will be safely destroyed after 12 months from the final date of contact.
